Digital Transformation Consultant in Sydney

Getting the foundations right. We help small and medium businesses across Sydney's North Shore, the Northern Beaches and greater Sydney organise their systems, simplify their processes and run the change through to finish.

The problem, plainly

Very few small businesses set out to build a messy system. It happens one sensible decision at a time.

You see it in small signs. The same customer details get typed into three places, because the quoting tool, the accounts package and the spreadsheet never spoke to each other. Someone asks what a job was worth and you get two different answers, both defensible. A monthly subscription appears on the card statement and nobody can say who set it up or what it does now. The quoting process works, but only because one person knows the exceptions, and that person is on leave next week.

Then there is the reporting. Numbers get rebuilt by hand each month, so you look at them late and trust them less than you would like. Jobs are tracked in email, which means the history lives in individual inboxes. Nobody is doing anything wrong. The business simply grew faster than the plumbing behind it, and the cost of that shows up as time, rework and quiet uncertainty rather than as a line item.

What we do

We start by mapping how work actually moves through your business, from first enquiry to paid invoice, and where it stalls or doubles back. From there we work across four areas.

Digital strategy and roadmaps. A plain written view of what you have, what it costs, what to keep and what to retire, sequenced so you are not changing everything at once.

Process review and redesign. We write down the process as it is really performed, including the exceptions, then simplify it and remove the steps that only exist because of an old tool.

Systems, integration and automation. Most businesses already own more capability than they use. We set up what you have properly and connect it, so information is entered once. That often means Microsoft 365 and SharePoint for files and permissions, Xero or MYOB for accounts, and Zoho CRM or Zoho Books where a more connected suite suits the way you sell. We work with these tools regularly. We are not a reseller for any of them.

Project managing your transformation. Plans are the easy part. We run the stages, chase the vendors, keep the documentation current and stay accountable for the schedule, so the work does not fall back on whoever in your team is already busiest.

Most small businesses do not need more software. They need the right few tools, set up well, and a plan for using them.

How an engagement runs

Engagements run in short stages, each one agreed in writing before it begins.

Introductory call. A conversation about what is not working. No charge, no obligation.

Discovery. For larger programmes, a short paid Discovery that sets out scope, constraints and a recommended approach. You receive a written summary you can act on or shelve, and the fee is credited against the next stage.

Review or plan. The package you choose, delivered as a written document: prioritised actions, costs, owners and the measures you will use to tell whether it worked.

Delivery. If you want help implementing, we scope that as its own stage with a fixed fee. You always see a written view of the work and the price before you commit to anything, and we do not use retainers.

What it costs

  • Digital Review — from $1,200. Half-day review of your tools, costs and workflow, followed by a written, prioritised action plan. One week.
  • Transformation Plan — from $2,500. A staged roadmap for one defined change, with costs, owners and measures. Two to three weeks.

All fees are fixed, agreed in writing before work starts and quoted ex GST. Software and hosting are paid by you directly to the vendor, so you keep control of the accounts. Jotunfjell takes no commissions and receives no referral fees from any vendor, which means our advice on a tool costs us nothing to give honestly.

Common questions

Do I have to replace my systems?

Usually not. Replacing a system is expensive and disruptive, and it is rarely the first problem. More often the tools you own are configured poorly or not connected. We look at fixing and joining what you have before we suggest buying anything new, and we will tell you plainly when a product has genuinely reached its limit.

Do you implement, or just advise?

Both, and they are priced separately so you can stop after advice. A Digital Review or Transformation Plan gives you a document you could hand to any competent provider. If you would rather we ran the work, we scope delivery as its own stage with a fixed fee and a defined finish.

What if my team resists the change?

Resistance is usually information. People push back when a change adds work or threatens something that currently works for them. We interview the people who do the job before redesigning it, keep the number of changes small, and document the new process so it does not depend on memory. Simple changes that reduce effort tend to hold.
